This is a draft
Delia hasn’t launched and isn’t open for sign-up yet. This page describes how Delia is designed to handle information. It will be reviewed and finalized before launch.

About Delia

Delia is an app that helps video editors and small production teams manage projects, clients, crew, deliverables and tasks. If you choose to connect a Google account, Delia reads your email and calendar so it can suggest what to do next.

This policy covers heydelia.com and the Delia app. It explains what information Delia handles, why, and the choices you have.

Information Delia handles

  • Account information. Your name and email address, and a password if you sign up with one. Passwords are stored only in hashed form. If you sign in with Google, Delia receives your name, email address and profile picture from Google.
  • What you add. Projects, clients and their contacts, crew, tasks, deliverables, quotes, invoices, notes, links, and anything you type or upload in chat.
  • Information from Google. Only if you connect a Google account, as described in the next section.
  • Activity in the app. A record of what you and Delia do, such as the suggestions you accept, edit or dismiss and every action Delia takes, so that actions can be traced and undone.
  • Technical information. Details such as your IP address, browser type and the time of each request, which our hosting providers log to run and protect the service. Delia uses the cookies needed to keep you signed in. It doesn’t use advertising cookies.

Information from Google

Connecting Google is optional, and you choose which parts to connect. You can disconnect at any time.

  • Gmail. Delia reads new email in the inboxes you connect, and attachments such as quotes and invoices, to find what relates to your work. When you first connect, you can also choose to import past email, and you pick how far back. For each message Delia stores the sender, recipients, subject, date and a short snippet, plus a summary it writes. It doesn’t store the full body of the email it syncs: when a body is needed, to show it to you or to prepare a suggestion, Delia fetches it from Gmail, uses it and discards it. Details Delia finds in your email, such as a contact, a task or an invoice amount, can become records in Delia. Delia sends an email only after you confirm it.
  • Your writing style. With your consent, Delia reads about 20 of your sent emails to learn how you write, so its drafts sound like you. It keeps notes on your style and a few of those emails as examples. You can edit the profile in Settings.
  • Google Calendar. Delia reads your events to show your schedule and to make suggestions. It writes to your calendar only if you turn on two-way sync, and it asks you before accepting an invitation or changing a calendar you share with others.
  • Google Drive. Delia can see only the files you pick to link to a project.

Email isn’t private inside a team. Threads that Delia syncs, and the suggestions made from them, are visible to everyone on your Delia team by default.

Delia’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • Delia uses information from Google only to provide and improve the features you see in the app.
  • Delia doesn’t sell it, and doesn’t use it for advertising.
  • Delia doesn’t use it to develop, improve or train generalized artificial intelligence or machine learning models.
  • No person at Delia reads it, unless you give permission for specific messages, it is necessary for security purposes such as investigating abuse, or it is required by law.

How Delia uses information

  • To provide the product: keeping your records, matching email to projects, making suggestions and drafting replies.
  • To keep Delia secure and prevent abuse.
  • To understand how well suggestions work, for example how often they are accepted, so Delia can improve.
  • To contact you about your account.

Delia suggests and you decide. It doesn’t send email or change a shared calendar without your confirmation.

How Delia uses AI

Delia uses AI models, currently Anthropic’s Claude, to decide which email is relevant, write summaries, suggest actions and draft replies. To do that, the relevant content, which can include the text of an email, is sent to the model provider for processing.

Delia will use only model providers whose terms don’t allow them to train their models on your content. Content from email is treated as information for Delia to consider, never as instructions for it to follow.

Who Delia shares information with

Delia doesn’t sell personal information. It shares information only with:

  • Your team. People on your Delia team can see the team’s records and synced email.
  • Service providers that process it on Delia’s behalf: Supabase (database and sign-in), Vercel (hosting), AI model providers (currently Anthropic), Google (when you connect a Google account), and a provider that delivers account emails such as sign-up confirmations.
  • Authorities, when the law requires it or it is needed to protect someone’s rights or safety.
  • A successor, if Delia is ever part of a merger or sale. This policy would continue to apply to your information, and information from Google would be transferred only with your explicit consent.

Storage and security

  • Delia’s database is hosted in Canada. The other providers listed above may process information in the United States and other countries.
  • Each team’s information is kept separate from every other team’s in the database.
  • The tokens that let Delia reach your Google account are encrypted, and are never sent to your browser.
  • Every action Delia takes is written to a log that can’t be edited.

No service can promise perfect security, but Delia is built to limit what it holds.

Keeping and deleting information

  • Delia keeps your information for as long as you have an account.
  • Disconnecting a Google account deletes the information synced from it.
  • A team can export its information, and can delete all of it.
  • You can also remove Delia’s access from your Google Account settings.

Backups and logs may keep copies for a limited time after deletion.

Your choices

You can ask to see, correct, export or delete your information. Depending on where you live, you may have further rights under local law.

Children

Delia is built for people working in video production. It isn’t meant for anyone under 16.
